Plan the software exit before you buy it.

A tool is easier to adopt when the business understands how its data, workflows, and accounts can leave later.

New software is usually evaluated by what it can do on day one. Features, price, integrations, and ease of use matter, but another question deserves attention before the contract is signed: what happens when the business needs to leave?

An exit plan is not a prediction that the tool will fail. Vendors change pricing, products are discontinued, business needs evolve, and better options appear. Understanding the exit makes the original decision stronger because it reveals where future dependency will live.

Start with the data. Confirm what can be exported, in which formats, and whether the export includes attachments, history, relationships, permissions, and audit information. A spreadsheet of names may not be enough to recreate a workflow built around documents and activity records.

Review integrations next. List the systems that will send information to the platform or depend on information coming back. Automated forms, accounting connections, calendars, and reporting tools can turn a simple cancellation into a larger migration project.

Understand account ownership and administration. The business should control the primary account, billing, domain verification, and recovery options. Use named administrators rather than relying on a vendor or one employee whose departure could block access.

Read the practical contract terms: renewal timing, cancellation notice, export fees, data-retention windows, and what support is available during transition. Record the important dates instead of waiting for a renewal notice to begin evaluating alternatives.

For critical tools, test an export while the system is healthy. Confirm the files open and contain what the business expects. Document the process and decide where essential records would go if the service became unavailable on short notice.

Good software should help the business move forward without making departure impossible. Buying with an exit in mind protects choice, continuity, and control of your own information.
